Digital You CIC is the data controller for the information described here. We are a Community Interest Company registered in England and Wales, company number 17070364, with a registered office at Collingwood Buildings, 38 Collingwood Street, Newcastle upon Tyne, NE1 1JF.
You can reach us at info@digitalyou.org.uk or on 0191 716 9565. There is no separate Data Protection Officer; the Director is responsible for data protection.
Our contact form asks for your name, email address, the organisation you are with if you give one, what your enquiry is about, and your message. We use it to answer you and to keep a record of the conversation.
Lawful basis: legitimate interests. We have an obvious interest in replying to people who contact us, and you would expect us to.
We collect your email address and use it to send occasional updates about our work.
Lawful basis: consent. You can withdraw it at any time, either through the unsubscribe link in any email we send, or by emailing us. We will act on it straight away.
Our hosting provider keeps standard server logs, including IP addresses, for security and troubleshooting. If you accept analytics cookies we also collect aggregated information about how the site is used. Our Cookie Policy covers this in detail.
Lawful basis: legitimate interests for security logging, and consent for analytics.
We do not sell personal information and we do not share it for anyone else's marketing. We do use suppliers who process information on our behalf, under contract and on our instructions:
| Who | What they do |
|---|---|
| DreamHost | Hosts this website and keeps the server logs |
| Elementor Site Mailer | Delivers the emails sent by our website forms |
| Google (reCAPTCHA) | Screens form submissions for automated spam |
| Google Analytics | Aggregated website statistics, only if you accept analytics cookies |
| Microsoft 365 | Our email and document systems, where enquiries are handled after they reach us |
Some of these suppliers process data outside the UK. Where that happens it is covered by the safeguards UK data protection law requires, such as the International Data Transfer Agreement or UK Addendum.
We may also share information where the law requires it, or where it is necessary to protect someone from harm. Our safeguarding page explains when that might apply.
| Information | Kept for |
|---|---|
| Website enquiries | 2 years from your last contact with us |
| Newsletter subscription | Until you unsubscribe |
| Server logs | As set by our hosting provider, typically a few weeks |
| Analytics data | Up to 2 years |
Information held for other parts of our work is kept in line with the retention schedule in our Governance and Policy Handbook. Financial records are kept for 6 years, safeguarding records for 6 years, and programme participant records for 3 years.
Under UK data protection law you have the right to:
Email info@digitalyou.org.uk and we will respond within one calendar month. We may need to check who you are first. There is no charge unless a request is clearly unfounded or excessive.
If you are unhappy with how we have handled your personal information, please tell us so we can put it right. You also have the right to complain to the Information Commissioner's Office at any time.

We do not make decisions about you by automated means. Where we use digital tools, including AI tools, to help with administration or drafting, a person reviews the output and confidential or personal information is not put into external systems without appropriate safeguards.
We will update this page when what we do changes, and change the date at the top.
